Take action!

Complete equipment & assets report ASAP

 

To comply with Modern Woodmen’s bylaws, all chapters and Summit chapters must report equipment and assets owned by the chapter to the Fraternal Department.

 

This report was due in April. If you haven't done so already, complete and submit the Annual Equipment and Asset Report now. Visit the Forms and Policies section of the Training & Resources site for more information about the equipment and asset policy.

Fraternal Connect FAQ

Learn more about this preferred way to track attendance

 

Q: What if I have a large group? What's the best way to handle that using Fraternal Connect?

 

A: Generally, all members and guests should sign in on their own. This provides attendees the opportunity to review and accept the photo release policy (required if you want to use the photos on Facebook or with a media release). It also provides the most accurate tracking and reporting.

 

As an alternative, you could use other documentation, like a spreadsheet or simple list to track member attendees. Then transfer the information to Fraternal Connect after the activity. If members are not asked to read and confirm the photo release, mark “no” for the consent and do not take photos.

 

Check out pages 35-36 of the Fraternal Leader Handbook for more ideas for tracking attendance at large events.

Make your activity requests a week in advance

 

Requests for chapter and youth service club activities must be submitted seven days in advance. The 28-day notice requirement enforced because of the pandemic was lifted at the end of 2022.

 

Keep in mind, it’s best practice to let members know about activities more than seven days in advance. And if you choose to send postcard invitations (now optional), you must still submit the request 28 days in advance.

Quick tips

Points to remember for Matching Fund projects

 

Does your chapter or club have a fundraiser coming up? Keep in mind:

  • The Fraternal Department sends Matching Fund checks to the designated contact, payable to the recipient organization or family. Remember to provide the recipient's name at the time of your request.
  • If multiple chapters or clubs participate in the same project, split the amount raised among the participating chapters/clubs. Don't report the total amount raised on each chapter’s or club’s report.
  • While your chapter/club is allowed to join with a larger community fundraiser, homegrown projects can often have a larger impact on those involved ... and provide increased recognition for your chapter/club. Ask your members for fundraising ideas.

Who to help

Your Matching Fund recipient should be an individual, family, nonprofit organization or public entity that meets the guidelines laid out in the Fraternal Recipient Eligibility Policy. See Page 37 in the Fraternal Leader Handbook for more information.

​​Have you used your 2022 premier funds yet?

If not, consider these ideas

 

  • Host a celebration for your members. Use premier funds to provide a special treat (ice cream?) for attendees, rent a bus to drive members to a fun event (baseball game or concert?), buy T-shirts or Modern Woodmen swag for volunteers, etc.
  • Complete an additional service project. Maybe one that goes above and beyond your usual projects. Ask your members for ideas.
  • Help offset future costs. You could use premier funds to provide a larger discount for members at an upcoming activity.

E-invitation enhancements

Important changes coming this week!

 

The Fraternal Department continues to enhance the electronic invitation system, making it easier for you and better for your members. Starting this week:

 

  • You can choose when the initial e-invitation is sent to members.
  • More information, including RSVP dates and other instructions, will be included in voice invitations and emails for service projects and youth club activities.
  • The caller ID for voice invitations is changing from the current 800 number to 309-793-5694, a Modern Woodmen number.

 

Additional changes will be released later this summer, including a new format for text messages and offering you direct access to the e-invitation system. This optional feature will allow you to notify members about last-minute event changes, request feedback on past activities, and send ad hoc messages.

Q: How can I toggle between multiple activities in Fraternal Connect?

 

A: An activity is considered active as soon as you check in at least one attendee. Fraternal Connect retains all attendee information ... even if you navigate away from that activity's check-in page. If you have multiple activities going on at the same time, you can easily switch back and forth without fear of losing information.

  1. Click the hamburger menu (three lines at the top of the screen).
  2. Select the Activity Quick Switch button. You'll see all active activities and can toggle between them as needed.

Take action: Required forms past due

Sign and upload acknowledgment forms ASAP

 

Beginning this year, the Fraternal Department requires annual acknowledgment of:

  • Fraternal Leader Handbook. All fraternal leaders (activities coordinators and youth club leaders) are required to read and acknowledge.
  • Code of Conduct. Fraternal leaders who are NOT Modern Woodmen field representatives or employees must read and acknowledge.

 

This acknowledgement was due at the end of February. If you have not done so already, take action now using this electronic form.

Axos Bank updates

New process to add a signer to chapter accounts

 

Soon, Axos Bank will begin using DocuSign to send and manage most of the paperwork needed to add a signer (leader/coordinator) to a chapter bank account. When a fraternal leader is appointed to a chapter, Axos Bank will send two emails – one from Commercial Banking and the other via DocuSign. (The DocuSign email will look similar to the image shown here.)

 

Please follow the instructions to access and electronically sign the documents. Note: If we don’t have a mobile number associated with your user account on imakeanimpact.org, all bank account paperwork will be sent from the Commercial Banking email.

 

Reminder: Axos Bank has a designated team that handles all inquiries and requests associated with Modern Woodmen chapter bank accounts. Contact the Commercial Banking Team at [email protected] or 866-747-4472. We recommend contacting the team via email.

Fraternal Connect FAQ

Learn more about this new, preferred way to track attendance

 

Q: Who all is included as part of a member's household in Fraternal Connect?

 

A: All individuals who share the same address in Modern Woodmen's member database (the address listed on their certificates) are considered part of a household. That means a family member of the person you're checking in will only show up in Fraternal Connect if:

  • The individual is a current Modern Woodmen member on your chapter/club roster. (Some households include nonmembers. Those individuals will not show up in Fraternal Connect.)
  • The individual's address is listed exactly the same as other family members in Modern Woodmen's system. (Slight differences in the way the address appears could cause the member to be left out of his/her proper household. Members can update their addresses by logging in to their online account at member.modernwoodmen.org.)

Kick off your activities with structure

 

Do you have a routine way you start chapter/club activities? It could provide structure and help your members know what to expect, serve as a reminder of what your chapter or club is all about, and help set the tone for the activity.

 

Recommended agenda:

  1. Welcome.
  2. Unifying activity, such as saying the Pledge of Allegiance, singing the National Anthem or reciting the final line of the Modern Woodmen Creed.
  3. Icebreaker to help attendees get to know each other.

Help boost children's literacy

 

Just a few weeks left to complete your first-quarter Raising Readers activity – reading with or to kids in your community. Keep in mind:

  • You can count this as a service project or a Hometown Hero event. You choose what activity category works best for your premier planning. Refer to the activity guide for reminders about how to request and report your project.
  • Reading doesn't have to take place in front a classroom full of kids. For example, a hybrid approach may work best if you're running into space or other restrictions, with some members reading at an on-site event and others reading to/with a child on their own (and letting you know they participated, so you can count them as attendees). Or maybe some donate books and others read. There are multiple "right" ways to get members involved. Check out this quarter's idea resource for suggestions or feel free to be creative.

Quick tip!

Submit a board report to earn premier status

 

Chapters and Summit chapters must submit at least one online board report each year to earn premier status. While many chapters like to hold an annual board meeting at the end or beginning of the year, your meeting(s) can happen anytime throughout the year.

 

  • Your chapter board must have at least three elected officers. 
  • One board report is required and a maximum of two are allowed between Nov. 1 and Oct. 31.
  • Chapters will be reimbursed $7 per board member (up to seven members) for any expenses associated with board meetings.

 

Page 33 of the Fraternal Leader Handbook shares an outline for a successful board meeting. Or you can use the fillable chapter board meeting agenda as a quick guide.​

Read to Kids This Quarter

Help boost children's literacy

 

Haven't completed your first-quarter Raising Readers project yet? Remember, you still have all of February and March to read to and with kids in your community.

 

What if you can't get into schools and libraries due to security or other restrictions? Feel free to be creative.

 

  • Idea: Bring chapter members together with their own children, grandchildren, nieces, nephews or neighborhood kids. Ask club members to bring an adult family member or younger sibling, cousin or friend.
  • Idea: Ask members to record themselves reading a children's book. Donate the recordings to a foster care organization or family shelter.
  • Idea: Hold the event at an animal shelter and invite young members to read to the cats and dogs. It boosts literacy skills while improving the animals' socialization. (Create "reading buddies" for nonreaders.)

2023 Impact Institute schedule

Watch for an invitation to a conference near you

 

Impact Institutes are fun, interactive conferences for Modern Woodmen fraternal leaders, with plenty of opportunities to exchange ideas. Staff members from the Fraternal Department facilitate training to help you learn something new and be inspired to continue the good work you’re doing in your community.

 

2023 Impact Institute dates & locations:

  • March 3-4: San Francisco, California.
  • April 14-15: Charleston, South Carolina.
  • April 21-22: Deadwood, South Dakota.
  • June 9-10: Seattle, Washington.
  • July 21-22: Salt Lake City, Utah.​
 

Want to attend? 

We’ll send personal invitations with more information to those leaders who live closest to the host cities. If you don’t see a location near you, don’t worry. Host cities rotate annually.​

Required form due April 1

Submit your chapter's equipment and asset report

 

To comply with Modern Woodmen’s bylaws, all chapters and Summit chapters must report equipment and assets owned by the chapter to the Fraternal Department.

 

Please complete and submit the Annual Equipment and Asset Report by April 1. Visit the Forms and Policies section of the Training Materials site for more information about the equipment and asset policy. Contact Fraternal at [email protected] or 800-322-9805 with any questions.

Automatic withdrawal from chapter accounts

Remember the Surety Fund collection this month

 

As required by the board of directors, the Fraternal Department annually collects money from each chapter for the Surety Fund. The fund exists to protect against any damages or losses resulting from a chapter officer’s failure to perform his or her duties. We will withdraw $5 from all chapter bank accounts the week of Jan. 15.​

It's tax time!

Watch the mail for your 1099-NEC

 

Fraternal leader compensation is considered taxable income for federal and, in most cases, state income tax purposes. Tax law requires the Fraternal Department to report compensation paid in excess of certain threshold amounts. (Please note the income is now reported on Form 1099-NEC, not 1099-M.)

 

If you received leader compensation of $600 or more last year, you'll receive a 1099-NEC within the next month. Please review the form and contact Fraternal with any questions or changes. You can reach us at 800-322-9805 or [email protected].

Read to kids this quarter!

Help boost children's literacy​

 

Start the year with an easy, but impactful project – reading to kids in your community in January, February or March.

 

  1. Work with a community group that caters to kids, such as a school, library, child center, after-school program or children’s hospital.
  2. Ask members to sign up to read to or with the kids. Members can bring books with them or the children in the group can bring their own to read.
  3. Turn this service project into a Hometown Hero event by also honoring a staff member during the activity (optional).

Report the number of children you and members reach (or potentially reach) with this activity. We'll add it to the nationwide tally and enter you into the quarterly incentive drawing.
